POSITION OVERVIEW
Our client in the oil & gas sector, is seeking an Administrative Support Officer to be based in Pemba, Cabo Delgado Province, Mozambique. This role is open exclusively to Pemba residents.
Reporting to the Base Administration Team Lead, the selected candidate will provide day-to-day administrative and logistical support for Shared Base Support operations. The role involves coordinating key service areas through the iBase ticketing system and ensuring smooth operational continuity at the client’s Pemba facilities.
CANDIDATE PROFILE
| Education |
• Minimum high school diploma or equivalent. • Degree in Business Administration, Facilities Management, or a related field is preferred. |

Experience |
• Minimum 4 years of experience in an administrative or facilities support role. • Experience working in a base camp, oil & gas, or industrial site environment is mandatory • Familiarity with base services operations (accommodation, transport, logistics) mandatory. • Multi-segment experience in field operations is a strong asset. |

Language |
• Good level of English (written and spoken) – mandatory. • Portuguese (native or fluent) – required. • Knowledge of local languages is an asset. |

Tools |
• Proficient in Microsoft Office Suite (Word, Excel, Outlook). • Familiarity with ticketing systems or administrative platforms (e.g. iBase or equivalent). • Basic data entry and reporting skills. |

KEY RESPONSIBILITIES
The Administrative Support Officer will assist the Base Administration Team Lead in managing the following Shared Base Support tasks, including iBase ticket closure and follow-up:
1. Accommodation Booking
• Process and manage accommodation booking requests for staff and visitors.
• Maintain accurate records of occupancy and coordinate with facility management.
• Ensure timely closure of related iBase tickets.
2. Passes & Permits
• Coordinate the issuance, renewal, and tracking of passes and permits required for access to client facilities in location.
• Liaise with relevant authorities and internal departments to ensure compliance.
3. Staff House & Coverall Washing
• Oversee scheduling and follow-up for staff house services and laundry/coverall washing.
• Coordinate with service providers and ensure timely delivery.
4. Employee Transportation & E-Journey Creation
• Manage transportation requests for employees and coordinate vehicle scheduling.
• Create and manage E-Journey records in compliance with client safety and mobility procedures.
5. Fuel Distribution
• Track and coordinate fuel distribution requests for base vehicles and equipment.
• Maintain accurate fuel consumption logs and report discrepancies.
6. PPE Management
• Manage the inventory, distribution, and replenishment of Personal Protective Equipment (PPE).
• Ensure PPE records are up to date and compliant with client HSE requirements.
